Salesforce to Cliniko migration for a women's health clinic

The challenge

A women’s health clinic had built years of operational workflow into a highly customized Salesforce implementation. The platform held patient records, tests, scans, and interaction history, but the structure depended on more than 30 custom entities.

Moving to Cliniko required more than exporting and importing records. We needed to translate custom Salesforce interaction objects into usable Cliniko treatment notes, preserve attached files and scans, and keep the clinical history trustworthy.

The migration window was a single weekend, so there was no margin for rework.

The solution

We designed a mapped migration model that converted Salesforce custom entities into Cliniko-native structures without losing context. That included a custom transformation layer for interaction records, so clinicians could read the migrated notes in a way that made sense in day-to-day work.

For attachments and scans, we built a controlled transfer pipeline that retained file-to-patient associations and validated completeness before cutover sign-off.

Because both systems enforce API rate limits, we implemented adaptive batching and retry logic, and coordinated directly with Cliniko and Salesforce support teams during rehearsal and production windows.

The outcome

The clinic completed migration over one weekend and resumed operations in Cliniko at the start of the week. All 47,000 patient records were transferred with zero reported data loss.

Most importantly, clinicians did not lose the meaning of historical interactions. Treatment context, documents, and patient timelines remained intact, so teams could continue care without a manual cleanup phase.
